I set up a User (Editor) in the Workflow, assigned Roles, etc. and set up permissions for page and folder. When I test by logging in as the new User and go to the assigned page and hit Edit, or when I try to open a file in the assigned file folder, I get a “Not Authorized” message. I have re-read the processes on Percussion website and believe I have followed all of the steps. How can I resolve?
Hi Susan,
Does the role your user is assigned to have permission to edit content in all of your Workflow’s states (Draft, Review, Approved, Archive), or just a select few? Note that, for example, if the role has no permissions for the Approved workflow state, that means that users in that role won’t be able to edit content that is currently in the Live or Pending workflow states. If the user has permissions for the Draft state, on the other hand, they should still be able to create new content in the folders that you’ve assigned to your Workflow. By the way, feel free to share screenshots of your Workflow configuration if you’re still not sure what’s going on here, and I’ll try to make sense of the behavior.
I added permission for Approve and it is now working fine. Please explain how the approval for publishing by admin happens. We are coming from an old cms that users could edit and submit, then admin was notified, approved and published.

The table in this doc outlines the behavior of the Default Workflow, and indicates which roles are allowed to perform what actions based on the item’s workflow state:

The default behavior is pretty close to what you’re used to. The one catch is that basic Contributor users are not allowed to edit content once it has been pushed along for review, nor once it’s been approved. Instead, they have to request that an Admin or Editor reject or resubmit the page back to Draft so that they can makes changes to it.
Some users elect to add Reject and Resubmit permissions for the Review and Approved states for the Contributor role so that Contributor can themselves reject or resubmit the content, edit it, and then push it along for approval once again.
